How to Add Your Business Email to Gmail, Outlook, Apple Mail, and Any Other App

Business Email works with the mail apps you already use. This article covers connecting your mailbox to Gmail, Outlook, and Apple Mail, plus the manual settings you need for any other app, so you can pick whichever one fits how you actually check your mail.

Business Email Connect Apps

Adding it to Gmail

These steps are for the Gmail app on your phone. 

Your mailbox works fine on a computer too, but Gmail’s desktop and web version cannot add it the same way. It only supports an older method called POP for other accounts, not a full IMAP connection like the app uses. If you use Gmail on a computer, use the manual setup section below instead.

Gmail Connect Apps & Devices

For connecting Gmail on mobile:

  • Open the Gmail app on your phone and tap your profile photo.
  • Tap Add another account, then choose Other, IMAP, not a Gmail or Google account type.
  • Enter your email address, ideally copied from the Connect Apps screen rather than typed.
  • Enter your mailbox password when asked.
  • For the incoming server, enter the IMAP host shown on the Connect Apps screen.
  • For the outgoing server, enter the SMTP host shown there.
  • Once everything is entered, your inbox should start syncing on its own.

Adding it to Outlook

These steps are for the Outlook app on your phone.

The mailbox itself is not limited to mobile — Outlook on a computer can connect the same way too; there just isn’t a separate guided walkthrough written for desktop.

If you use Outlook on a computer, use the manual setup section below instead.

Outlook Connect Apps & Devices
  • Open the Outlook app on your phone and tap your profile photo.
  • Find Accounts, then Add account, then Email account, then IMAP.
  • Enter your email address, ideally copied from the Connect Apps screen.
  • For the incoming server, enter the IMAP host shown there.
  • Add your password for the IMAP account.
  • For the outgoing server, enter the SMTP host shown there.
  • Outlook also supports automatic account discovery. If it is working for your domain, Outlook may configure your server settings on its own once you enter your email and password, skipping some of the steps above.

Setting up Apple Mail

This works on iPhone, iPad, and Mac. Only the person who originally created the mailbox can generate the setup profile; if that is not you, use the manual setup section below instead.

Apple Mail Connect Apps & Devices
  • On iOS, scan the QR code shown on the Connect Apps screen with your camera, and open the link in Safari. On a Mac, click Download profile instead.
  • On iOS, open Settings, where you will see Profile Downloaded. On a Mac, open the downloaded file to launch System Settings, then Profiles.
  • Tap or click Install, then confirm with your device passcode.
  • You may be asked for your mailbox password one more time to finish.
  • The QR code and download link only stay valid for about 15 minutes, since the profile contains your mailbox’s password. If it stops working, reopen the Connect Apps tab to generate a fresh one.

Setting up any other app, manually

This covers Thunderbird, desktop mail apps, or genuinely any email app that speaks IMAP and SMTP, including desktop Gmail and anyone who was not the original mailbox creator on Apple Mail.

Go to Connect Apps, then the Other tab, or open the Advanced settings panel at the bottom of any Connect Apps tab for the same raw values.

  • Open your email app and find Add Account or Settings.
  • Choose IMAP as the account type, not POP3.
  • Enter your full email address and your mailbox password.
  • For the incoming server, enter the IMAP host shown on the Connect Apps tab, on port 993, using SSL or TLS security.
  • For the outgoing server, enter the SMTP host shown there, on port 465, using SSL or TLS security.

Always copy these values rather than typing them from memory, since the exact hostname can change if ZipWP’s mail infrastructure is ever updated; the in-app values are always current. And choose IMAP over POP3 specifically, since IMAP keeps your mailbox in sync across every device you use, while POP3, which Business Email does not support, would download mail to one device and often remove it from the server.

If a setup does not connect

  • Double-check you selected the IMAP account type, not POP3, Exchange, Office 365, or a Gmail or Google account type.
  • Confirm your mailbox password is correct. If you doubt that the password is incorrect, please reset it.
  • If your domain uses DNS managed outside of ZipWP, confirm your records are correct and have been verified.
